What we build

The parts of your system.

Every system is built around how you already work, so you only get the parts you need. These are the ones most plumbers, electricians and builders ask for.

Enquiries and call-outs

Every enquiry in one list, whether it came from your website, a call or a message.

  • Website quote requests land in the system with the customer's photos
  • Job type, postcode and how urgent it is, recorded at the start
  • Emergency call-outs flagged, with your out-of-hours rate attached
  • Turn an enquiry into a quote or a booked job in a tap

Quotes

Quotes built and sent from your phone, while you are still on site.

  • Your price list of common jobs, labour rates and materials ready to pick from
  • Quotes sent as a link the customer can read and accept on their phone
  • A reminder to follow up when a quote has not been answered
  • Accepted quotes become jobs, with a deposit request if you take one

Jobs and the diary

Who is going where, with everything they need to know on their phone.

  • A diary for each engineer or team
  • Job sheet on the phone: address, access, parking and what the job needs
  • Before and after photos saved to the job
  • Booking confirmations, and an on-the-way message to the customer
  • Variations and extras added to the job as they come up

Certificates and paperwork

Every certificate and notification filed against the job and the address, so you can find it in seconds years later.

  • Certificates stored per job and address: gas safety records, EICRs, installation and minor works certificates
  • Upload the certificate from the software you already use, or fill in a form we build to match yours
  • Notifications through Gas Safe, NICEIC or your scheme recorded with the date
  • Boiler and appliance warranty registration dates kept with the install

Invoices and payments

Invoice when the job is done, not at the end of the week.

  • Invoice created from the job, including any extras added on the day
  • Card payment link on every invoice, through a payment provider
  • Staged payments and retentions for bigger builds
  • CIS deductions shown on invoices where they apply
  • Polite reminders for overdue invoices, and exports for your accountant

Repeat work and reviews

The jobs you did last year bring in the work for this year.

  • Annual boiler service and landlord gas safety reminders to customers
  • EICR due reminders for landlord and commercial customers
  • A review request once the job is signed off
  • Full history for every address, so you know what is there before you arrive
A day with it

What changes on a normal day.

An example of how the system fits into the day. Yours is built around your own routine.

  1. 7:30You check the diary on your phone over a coffee. One job has moved because the customer cannot be in, and the system has already told them the new time.
  2. 9:00An emergency call-out comes in through the website with a photo of a leaking valve. You fit it in, and the customer gets a confirmation with your call-out rate.
  3. 12:00Between jobs you build a quote for a bathroom from your price list and send it from the van. The customer can accept it on their phone.
  4. 15:00The job is finished. You add photos, attach the certificate, and send the invoice with a payment link before you leave the drive.
  5. 18:00Nothing to write up at home. Service reminders have gone out to customers whose boilers are due next month.

Plumbers, electricians and builders: questions about a custom system

How much does a CRM for my trade business cost?
Systems start from £999 to build, plus £79 a month for hosting, security, daily backups and small improvements. We give you a fixed price after a short call. Many trades start with quotes, jobs and invoices, and add certificates and reminders after.
Can it produce my gas or electrical certificates?
We can build forms that match the certificates you issue. Many engineers already use certificate software their scheme accepts, though, and the simplest answer is often to keep using it and attach the finished certificate to the job in the CRM.
Will it work with Xero or QuickBooks?
Both let other systems send them invoices and contacts, so in most set-ups, yes. We check what your accounting software allows before we quote, and if a link is not possible, you get a clean export instead.
Does it work where there is no signal?
It runs in your phone's browser, so it needs a connection to save. If you often work in basements or areas with no signal, tell us at the start. Saving work offline and sending it when you are back in signal can be built, but it adds to the price.
Who owns the data?
You do. Everything in the system is your business's data. You can export it as a spreadsheet whenever you like, and if you ever leave, you take a full export with you.
Would an off-the-shelf job app be better?
Plenty of good job management apps exist for trades. If you are a sole trader and happy with how one works, keep it. A custom system makes sense when you run a team, mix different kinds of work, or pay for several apps that do not talk to each other.
