A CRM for cleaning companies that runs the rota
Recurring cleans, rotas, keys, checklists and invoices in one place, so a sick day or a holiday does not turn into a morning on the phone.
- Free first call, no obligation
- A fixed price for each step
- Built around how you work
Where the week goes.
- The rota falls apart at 7amA cleaner texts in sick and you spend the next hour moving visits around, texting other cleaners and letting clients know. Nobody else can do it because it all lives in your head.
- Keys and access codes on paperWhich cleaner has which key, the alarm code for the office on the high street, where the spare is hidden. If the notebook goes missing, so does a lot of trust.
- Regular cleans that driftA client skips a fortnight, goes on holiday, or asks to move to Thursdays. A few changes later, the pattern in the diary no longer matches what anyone agreed.
- A complaint with nothing to check againstA client says the bathroom was missed. Without a checklist or a photo from the visit, it is your word against theirs.
- Invoicing regular clients every monthWorking out how many visits each client had, adjusting for skipped weeks and extras, then writing and chasing invoices.
The parts of your system.
Every system is built around how you already work, so you only get the parts you need. These are the ones most cleaning companies ask for.
Clients and sites
Everything a cleaner needs to know about a home or office, kept with the client and shown only to the people who need it.
- Each home or office with access notes, parking, pets and alarm instructions
- Client preferences and anything not to touch
- Agreed price per visit or per month, and what each clean includes
- Commercial sites with their own contacts, rooms and opening times
Recurring visits
Set a clean up once and it repeats, with changes handled without breaking the pattern.
- Weekly, fortnightly, monthly or custom patterns
- Skip or move a single visit without changing the rest
- Holiday pauses that restart on their own
- One-off cleans alongside: end of tenancy, deep cleans, after builders
Rota and cleaners
Who is where each day, and what to do when someone is off.
- A daily and weekly rota for every cleaner or team
- Reassign a sick cleaner's visits and tell the clients in one go
- Each cleaner sees only today's visits and the notes they need, on their phone
- Hours and visits per cleaner, ready to export for payroll
Checklists and quality
A record of what was done on every visit.
- Checklists per site or type of clean, ticked off on the phone
- Photos from the visit saved against it
- Issues reported straight away: something broken, supplies running low
- A feedback or review request after the visit
Key register
A proper record of every key you hold.
- Every key logged with a coded tag, so a lost key does not show an address
- Signed out to a cleaner and signed back in, with the date
- A reminder when a key has not come back
- Access codes stored privately, not in a notebook
Quotes, invoices and payments
From instant quote to paid invoice without retyping anything.
- Instant quote requests from your website arrive in the system
- Monthly invoices for regular clients, worked out from the visits that happened
- Card payment links, or Direct Debit through a provider such as GoCardless if you have an account
- Automatic reminders for unpaid invoices
What changes on a normal day.
An example of how the system fits into the day. Yours is built around your own routine.
- 7:00A cleaner texts in sick. You open the rota, move her visits to colleagues who have space, and the clients are told who is coming instead.
- 8:00Each cleaner opens today's list on their phone: addresses, access notes and the checklist for each visit. No group chat needed.
- 12:30A cleaner reports a cracked shelf at one home, with a photo, before the client has noticed. You message the client from the visit record.
- 16:00Checklists for the day are ticked off. One key has not been signed back in, so it shows on tomorrow's list.
- Month endInvoices for regular clients are worked out from the visits that actually happened, including the skipped week and the extra oven clean, and sent with a payment link.

Cleaning companies: questions about a custom system
- How much does a CRM for a cleaning company cost?
- Systems start from £999 to build, plus £79 a month for hosting, security, daily backups and small improvements. After a short call we give you a fixed price. Most cleaning companies start with recurring visits, the rota and invoicing.
- Can cleaners see every client's address and key codes?
- No. You choose what each person sees. Usually a cleaner sees only today's visits with the access notes they need, and loses access when they stop working for you.
- Does it handle commercial contracts as well as homes?
- Yes. Offices, shops and communal areas can have their own sites, contacts, checklists and monthly contract prices, next to your domestic clients.
- Can my instant quote on the website feed into it?
- Yes. If we build or already look after your website, quote requests go straight into the system as new enquiries, ready to turn into a booking.
- Who owns the data?
- You do. Everything in the system is your business's data. You can export it as a spreadsheet whenever you like, and if you ever leave, you take a full export with you.
- Is there cleaning software that would do this already?
- Yes, there are scheduling apps made for cleaning businesses, and for a small team with simple rounds one of those may be all you need. A custom system is worth it when you mix domestic, commercial and one-off work, hold lots of keys, or want it to work exactly the way your team already does.
