Contracts and invoices that send themselves
Agreements filled in from your templates, signed online and filed against the customer; invoices created, sent and chased on their own. For any business that spends evenings on paperwork.
- Free first call, no obligation
- A fixed price for each step
- Built around how you work
Where the week goes.
- Copying details into the same contractEvery new customer means opening last month's agreement, changing the name, address, dates and price, and hoping nothing from the old customer slipped through.
- Waiting for signaturesContracts are printed, signed, scanned and emailed back, or sit unsigned in someone's inbox while the work has already started.
- Renewals that sneak up on youAnnual agreements, contracts with an end date and terms that need reviewing. Nobody notices until the date has passed.
- Invoices written up lateThe job finished on Tuesday, but the invoice goes out on Friday night, or the end of the month, because there was no time before.
- Chasing money by handWorking out who has paid, sending awkward reminder texts, then telling your accountant what came in and what did not.
The parts of your system.
Every system is built around how you already work, so you only get the parts you need. These are the ones most contracts and invoices ask for.
Contracts from templates
Your own agreements, filled in with the right details every time.
- Your contract and agreement templates set up once
- Customer, job, dates and prices filled in from their record
- Optional clauses added or left out depending on the job
- A preview before anything is sent
E-signature and filing
Sent for signature online and filed automatically when it comes back.
- Contracts sent for signature through an e-signature service
- Reminders to people who have not signed yet
- The signed copy filed against the customer, with the date
- Everyone who needs a copy gets one
Renewals and expiry reminders
The system watches the dates on every agreement.
- End, renewal and review dates kept on every contract
- Reminders to you ahead of each date
- Renewal paperwork prepared from the existing agreement
Quotes to invoices
Write the price once and carry it through.
- Quotes sent as a link the customer can accept
- Accepted quotes become jobs and then invoices without retyping
- Extras and changes added along the way
- Deposits and staged payments set up from the quote
Automatic invoices and payment
Invoices go out when they should, with an easy way to pay.
- Invoices created and emailed when a job is marked complete
- Regular invoices sent on a schedule, weekly, monthly or on a date you set
- A payment link on every invoice, through a payment provider
- Invoices marked paid when the payment provider confirms payment
Chasers and your accountant
Polite follow-ups, and figures your accountant can use.
- Polite automatic reminders when an invoice is overdue, in the wording you choose
- Payments recorded by hand too, for bank transfers and cash
- Exports for your accountant, or a link to your accounting software where it allows one
- A clear list of what is owed and by whom
What changes on a normal day.
An example of how the system fits into the day. Yours is built around your own routine.
- 9:00A new customer accepted your quote last night. Their agreement has been filled in from your template and is waiting for you to check and send.
- 9:10You press send. The customer gets it to sign online, and a reminder is lined up in case they do not.
- 13:00The signed copy comes back and is filed against the customer, with a copy emailed to them.
- 16:00A job is marked complete on your phone. The invoice goes out straight away with a payment link.
- Month endRegular customers' invoices go out on schedule, overdue ones get a polite reminder, and the month's invoices are ready for your accountant.

Contracts and invoices: questions about a custom system
- How much does contract and invoice automation cost?
- Systems start from £999 to build, plus £79 a month for hosting, security, daily backups and small improvements. It can be built on its own or as part of a wider CRM. We give you a fixed price after a short call.
- Which e-signature service do you use?
- It depends on what you already use and what your contracts need. E-signature runs through an e-signature service, which usually has its own subscription. If you already pay for one, we connect to it where that service allows.
- Are e-signed contracts legally valid?
- Electronic signatures are widely used in the UK, but whether one is right for a particular document is a legal question we cannot answer for you. If you are unsure, ask a solicitor. We build the process; you choose which documents go through it.
- Will it work with my accounting software?
- Accounting packages such as Xero, QuickBooks and FreeAgent let other systems send them invoices and contacts, so in most set-ups, yes. We check what yours allows before quoting. If a link is not possible, you get a clean export for your accountant instead.
- Can I still check invoices before they go out?
- Yes. Each type of invoice or contract can be sent automatically or held for you to approve first. Many people start by approving everything and switch to automatic once they trust it.
- Who owns the contracts and invoices?
- You do. Everything in the system is your business's data. You can export it as a spreadsheet whenever you like, and if you ever leave, you take a full export with you.
