A CRM for made-to-order builds, parts and purchasing
For businesses that build to order, such as vehicle conversions, joinery, fabrication and custom products: orders, builds, parts, suppliers and payments in one system.
- Free first call, no obligation
- A fixed price for each step
- Built around how you work
Where the week goes.
- The spec lives in an email threadThe customer's choices, the drawing, the changes they asked for later and the price you agreed are spread across emails and texts. The workshop builds from whichever version they saw last.
- A missing part stops the buildSomeone notices on the day that a part was never ordered, or the supplier's delivery was short. The build waits, and so does the customer.
- Not knowing what a build really costParts and hours are spent, but they are never added up against the job, so you only find out whether it paid when the accounts come back.
- Customers asking for updatesPeople who have paid a deposit for something big want to know how it is going. Each update means walking into the workshop, taking photos and writing a message.
- Staged payments tracked by handDeposit, payment at a build stage, balance on collection. Keeping track of who owes what, and when, sits on a spreadsheet.
The parts of your system.
Every system is built around how you already work, so you only get the parts you need. These are the ones most workshops and made-to-order ask for.
Orders and specs
One agreed version of what the customer is buying.
- Orders with the customer's chosen model, options and spec
- Drawings, photos and the signed-off quote attached
- Changes logged with their price and the customer's approval
- Deposit and staged payments set against the order
Build tracking
Every build on one board, at the stage it is really at.
- Build stages set up the way your workshop works
- A board showing each build and its current stage
- Workshop notes and photos at each stage
- Target dates for each stage and for handover
Parts and bills of materials
Know what each build needs, and whether you have it.
- A parts list for each model or build
- Stock shown as in stock, reserved for a build, or needed
- Shortfalls flagged before the build reaches that stage
- Parts and hours added up against each build, next to its price
Purchasing and suppliers
Order what you need, from the right supplier, and know when it is coming.
- Supplier records with contacts, prices and usual lead times
- Purchase orders raised from the shortfall list
- Deliveries recorded against each purchase order, including part deliveries
- Supplier invoices checked against what was ordered and received
Customer updates and handover
Keep customers informed and hand over properly.
- Progress photos and short updates sent to the customer
- Stage payment invoices sent when a stage is reached
- Handover pack with manuals, serial numbers and warranty details
- Aftercare and service reminders after handover
Shop and stock together
If you also sell parts or products online, the shop and the workshop can draw on the same stock.
- Online shop orders taken from the same stock as the workshop
- Low-stock warnings across both
- Shop orders and build orders in one list
What changes on a normal day.
An example of how the system fits into the day. Yours is built around your own routine.
- 8:00The workshop board shows every build and its stage. One is ready to move on to the next stage today.
- 9:30Next week's build is flagged as short of parts. You raise a purchase order from the shortfall list and send it to the supplier.
- 12:00A delivery arrives with one item missing. It is recorded against the purchase order, so the missing item stays on the list until it turns up.
- 15:00Progress photos from the fit-out go to the customer with a short update, straight from the build record.
- 17:00A build has reached a payment stage, so the invoice for that stage goes out with a payment link.
We built the website, online shop and the business system behind them for Royal Conversion, an ice cream van builder in Doncaster. The system includes purchasing.

Workshops and made-to-order: questions about a custom system
- How much does a system for a workshop cost?
- Systems start from £999 to build, plus £79 a month for hosting, security, daily backups and small improvements. Systems that cover orders, builds, parts and purchasing are usually bigger than a first step, so we give you a fixed price after a short call.
- Can it tell me what each build cost?
- It adds up the parts and hours recorded against each build, so you can see the cost next to the price. It is only as accurate as what gets recorded, so we keep recording quick enough to do on the workshop floor.
- Can my online shop and workshop share stock?
- Yes, if we build or connect both. Shop orders and build orders draw from the same stock, so a part sold online is not also promised to a build.
- Does it replace my accounting software?
- No. It handles orders, builds, purchasing and invoices, and sends or exports the figures to your accounting software, where that software allows it. Your accountant keeps working the way they do now.
- Who owns the data?
- You do. Everything in the system is your business's data. You can export it as a spreadsheet whenever you like, and if you ever leave, you take a full export with you.
- Would an off-the-shelf manufacturing system be better?
- If you make large volumes of standard products, a manufacturing or stock system built for that may be the better answer. Custom is worth it for made-to-order work, where every build is a little different and the ready-made systems ask you to bend your workshop to fit them.
