A salon and barber CRM built around your chairs
Online booking, deposits, client notes, consultation forms and nudges for regulars, kept on your own website rather than someone else's app.
- Free first call, no obligation
- A fixed price for each step
- Built around how you work
Where the week goes.
- No-shows on your busiest daysA Saturday slot sits empty because someone forgot, and there was no deposit to cover it. You only find out when they do not walk in.
- Bookings in your DMsClients book through Instagram, WhatsApp, a phone call and a booking app. Between clients you are replying to messages instead of cutting.
- Client cards and colour notesColour formulas, preferences and allergies sit on record cards or in one stylist's head. When that stylist is off, nobody knows what the client had last time.
- Patch tests and consultationsPatch test dates and consultation forms are on paper, if anywhere. It is hard to check before a colour appointment that the right steps were taken.
- Working out pay at the end of the weekCommission, chair rent and product sales worked out by hand from the till and the diary.
The parts of your system.
Every system is built around how you already work, so you only get the parts you need. These are the ones most salons and barbers ask for.
Online booking
Clients book the right person, service and time from their phone, with your rules built in.
- Choose a stylist or barber, a service and a time
- Deposits or full payment for the services you choose, through a payment provider
- Your cancellation policy shown at booking and in reminders
- Reminders with a link to move the booking, and a waiting list for full days
- Walk-ins logged too, so the diary shows the real day
Client records
The client's history in one place, whoever is behind the chair.
- Visit history: who did what, and when
- Colour formulas and technical notes
- Preferences, allergies and anything to remember
- Before and after photos, where the client has agreed
Consultations and patch tests
The forms and records you need before certain treatments, kept against the client.
- Consultation forms sent to new clients before their first visit
- Patch test dates recorded, and checked when a colour service is booked
- Signed consent stored with the date
- A prompt when a form needs updating
Bringing regulars back
A friendly nudge at the right time, for clients who have agreed to hear from you.
- A message when a regular is due their next cut or treatment
- Offers for quieter days, sent only to clients who opted in
- A Google review request after a visit
Staff and takings
The numbers you need to pay people properly, without a calculator on a Sunday.
- Diaries and working hours for each member of staff
- Commission or chair rent worked out from the bookings
- Takings by person and by service
- Gift vouchers sold and redeemed
What changes on a normal day.
An example of how the system fits into the day. Yours is built around your own routine.
- 8:45Bookings made overnight are in the diary, each with a deposit taken. Nobody had to answer a message after closing.
- 10:00A new client books a colour. The system shows there is no patch test on record yet, so you book one first.
- 13:00A client does not turn up. The deposit is kept under your policy, and the slot is offered to the waiting list.
- 16:00Regulars who are due their next cut get a nudge with a link to book with their usual barber.
- 19:00At closing you see today's takings by stylist, ready for commission at the end of the week.

Salons and barbers: questions about a custom system
- How much does a salon or barber CRM cost?
- Systems start from £999 to build, plus £79 a month for hosting, security, daily backups and small improvements. You get a fixed price after a short call. Booking with deposits and client records is a common first step.
- I already use a booking app. Why would I change?
- You may not need to. If your app does what you need and the fees are fair, keep it, and we can link it to your website. A system on your own site makes sense when you want your client list in your own hands, need things the app does not do, or would rather not pay fees on every booking.
- Can I take deposits only for some services?
- Yes. You choose which services need a deposit or full payment, and how much. Payments go through a payment provider straight to your account.
- Is client information kept private?
- Yes. The system sits behind a login that needs a one-time code, on an encrypted connection, with daily backups. You choose what each member of staff can see, and clients only ever see their own bookings.
- Who owns the client list?
- You do. Everything in the system is your business's data. You can export it as a spreadsheet whenever you like, and if you ever leave, you take a full export with you.
- Does it work for walk-in barbers?
- Yes. Walk-ins can be added to the diary as they come in, so you still see the day properly, and regulars still get their nudge when they are due back.
